Introduction:
A leading global provider of financial information, business intelligence, news, and technology solutions is looking for a dynamic and highly organized Executive Administrative Assistant to join its Tokyo office. This is an excellent opportunity for an experienced Executive Assistant who enjoys working in a fast-paced, international environment and is comfortable managing multiple priorities and senior stakeholders.
About the Role:
The Executive Administrative Assistant will primarily support the Country Head of Japan and the Head of External Relations and Government Affairs. The role requires strong organizational skills, sound judgment, discretion, and the ability to anticipate senior executives’ needs and proactively manage their day-to-day requirements.
You will work closely with internal teams, clients, and external stakeholders, while also supporting the smooth operation of the sales organization in Tokyo.
Responsibilities:
- Provide comprehensive administrative support to senior executives, including travel arrangements, expense management, and contact management
- Coordinate sales floor logistics and maintain relevant sales administration records and databases
- Anticipate executives’ needs and proactively manage tasks based on a broader understanding of the business
- Identify opportunities to improve administrative efficiency and proactively implement improvements
- Coordinate with employees at all levels, clients, and external guests
- Handle confidential and sensitive information with discretion
- Manage competing priorities and urgent requests effectively in a fast-paced environment
- Follow through on projects and administrative tasks to ensure timely and successful completion
Requirements:
- 6+ years of experience as an Executive Assistant
- Excellent written and verbal communication skills in both Japanese and English
- Strong problem-solving, strategic thinking, and creative thinking skills
- Excellent attention to detail and organizational skills
- Ability to work effectively in an open and collaborative office environment
- Sales administration experience is preferred
- Previous experience in financial services is a plus
